1. Data Controller
The controller of your personal data is Jacek Jarczok, operating under the brand name HeyBuddy.photo, Pszczyna, Silesia.

2. What data I collect
I collect only the data necessary to provide the service or respond to your enquiry:
- First name — so I can address you personally.
- Email address — for communication and file delivery.
- Message content — description of the session, information about your dog.
- Photo uploaded by you (optional) — e.g. a photo of your dog for consultation or session planning.
- Booking details — when confirming a date (name, email address, and optionally a phone number if you choose to provide one).
I do not collect sensitive personal data, national identification numbers, payment card information (payments are handled through your bank or standard bank transfer), or information relating to children.
3. Purpose and legal basis for processing
I process your data for the following purposes:
- Responding to your enquiry — Article 6(1)(b) GDPR (taking steps at your request before entering into a contract).
- Communication and correspondence management — Article 6(1)(f) GDPR (legitimate interest in maintaining communication with website users).
- Providing photography services and fulfilling contracts — Article 6(1)(b) GDPR (performance of a contract).
- Issuing invoices and accounting documents — Article 6(1)(c) GDPR (legal obligation).
- Establishing, exercising, or defending legal claims — Article 6(1)(f) GDPR (legitimate interest).
I do not process your personal data for marketing purposes without your consent, and I do not send newsletters.
4. Data Retention Period
- Contact form inquiries that do not result in a booking up to 6 months after the last correspondence.
- Data related to bookings and photography services — 3 years from the session date.
- Accounting and tax records — 5 years after the end of the relevant tax year, as required by law.
- Photographs created during a session may also be retained after the service has been completed for archival purposes related to my photography business. However, I do not guarantee storage for any specific period or the ability to provide copies in the future.
5. Your rights
Under the GDPR, you have the following rights:
- Access — you may request a copy of your data.
- Rectification — you may request correction of inaccurate data.
- Erasure — you may request deletion of your data (right to be forgotten), unless it is required to be retained for legal reasons.
- Restriction of processing — you may request that processing be suspended in certain situations.
- Data portability — you may receive your data in a machine-readable format.
- Objection — you may object to processing based on legitimate interest.
- Complaint — you have the right to lodge a complaint with the President of the Personal Data Protection Office (uodo.gov.pl) or the supervisory authority in your country of residence.
To exercise any of these rights, send an email to hello@heybuddy.photo. I will respond without undue delay and no later than within 30 days.
6. Data Recipients
I do not sell or share your personal data with third parties for commercial purposes.
Your data may only be shared with:
- Email service provider (LH.pl) — for handling correspondence.
- Online gallery provider (where applicable) — for sharing files after the session.
- Public authorities — where required by law.
These entities process data under appropriate agreements or legal obligations. I do not transfer personal data outside the European Economic Area (EEA).
7. Cookies
The heybuddy.photo website uses Google Analytics to help me understand how visitors use the website. Google Analytics processes information in a manner designed to limit user identification and operates in accordance with the privacy settings available in Google Analytics 4.
If you do not provide consent by selecting "Essential Only" in the cookie banner, no analytics cookies will be stored on your device.
You may change your cookie preferences at any time through the cookie banner settings or your browser settings.
Data collected by Google Analytics is anonymised (anonymize_ip enabled) and processed in accordance with Google's privacy policy.
8. Photographs and Personal Data
Session photographs may include identifiable images of people. The legal basis for processing such images is the performance of a contract under Article 6(1)(b) GDPR.
Publication of photographs containing identifiable individuals in portfolios, on websites, or on social media platforms is carried out only with the separate consent of the person depicted.
You may withdraw your consent for publication of your image at any time by contacting hello@heybuddy.photo. Withdrawal of consent does not affect the lawfulness of any publication made before the withdrawal.
Photographs featuring animals only may be used by the Data Controller for portfolio presentation and promotion of photography services. If you do not wish photographs of your dog to be published, please inform me before or during the session.
